School Smart Assistant and Chatbot Project


Project Context and Problem Statement
Effective communication and accurate information access for students and parents are among the main challenges of modern school administration. Answering repeated questions, such as working hours, exam dates or the presence of administrative staff, often consumes a lot of time.
To respond to this challenge, the Al Wahda smart assistant was created. It is a pioneering project at national level inside public schools, aiming to digitize institutional communication through a chatbot available around the clock to provide immediate and accurate answers to users’ questions.
Technical Components and Software Design
The smart assistant was built on an advanced software infrastructure combining web interfaces and automation systems:
- Interactive user interface: a modern chat interface based on Glassmorphism, ensuring a smooth and comfortable experience on mobile devices and computers.
- Knowledge database: the team collected and built a large database of more than 300 questions and answers covering organizational, administrative and geographic aspects of the school.
- Automation and connection engine (n8n): the heart of the system, linking the chat interface to the database and analyzing user questions to provide the most accurate answer in fractions of a second.
Implementation and Methodology
The smart assistant follows an instant-response algorithm:
- Receiving the question: the user asks a question in natural language through the chat interface.
- Analysis and processing: the request is sent through a Webhook to n8n servers, which analyze keywords and match them with the knowledge database.
- Automatic response: the appropriate answer is generated and sent immediately to the user, with the possibility of directing them to external links when needed.

Team and Task Distribution
This pioneering system was designed and developed thanks to the exceptional efforts of club members:
- Data engineering and knowledge content: handled by Hicham Oussroud, who collected, classified and organized a database of more than 300 questions and answers covering every detail related to the school.
- Software engineering and automation (n8n): handled by Abdellah Lmou, who developed the interactive chat interface, connected it to n8n and designed automatic response algorithms to ensure fast and accurate answers.
